Culpeper Medical Center Bridges MEDITECH and Enterprise Vendor Systems

As part of the broader Novant Health UVA Health System, Culpeper Medical Center needed to export financial and clinical data from their MEDITECH MAGIC environment to feed enterprise vendor systems used across the health network. Acmeware built and automated multiple data integration packages that connected Culpeper's EHR data to platforms like Syntellis, Vizient, and NRC Health, enabling cross-system comparison reporting and reducing manual operational overhead.

Background

Novant Health UVA Health System Culpeper Medical Center serves the greater Culpeper, Virginia community and surrounding areas. The campus is home to a 70-bed community hospital, Family Birth Center, and 24/7 emergency department, complemented by additional outpatient services in other northern Virginia towns and the Novant Health UVA Health System Haymarket Medical Center. Culpeper Medical Center is a longtime MEDITECH MAGIC customer and has been an Acmeware Partnership Program client since 2004, making it one of Acmeware's longest-standing customer relationships. The hospital also became a OneView quality reporting customer in 2017.

The Challenge

Culpeper Medical Center operates on MEDITECH MAGIC within a larger health system where other facilities run on Epic. The hospital needed to increase operational efficiency, reduce operating costs, and enable meaningful comparison reporting across the Novant system by getting financial and clinical data out of MEDITECH and into the enterprise vendor platforms used across the network.

The core technical challenge was developing and automating data export packages that could reliably extract data from a MAGIC 5.67 system, transform it to meet each vendor's specifications, and deliver it on a scheduled basis without ongoing manual intervention. Each destination system had its own data format requirements and compatibility considerations, making this a multi-faceted integration effort rather than a single project.

The Solution

Culpeper turned to Acmeware, their longtime Partnership Program partner, to evaluate the various data integration specifications and assess each project from a data compatibility perspective. Acmeware then built several data export packages, extracting data from Culpeper's MAGIC system to feed a range of financial and clinical vendor systems. Wherever possible, data movement packages were automated to improve client workflow and reduce the manual burden on Culpeper's IT staff.

The completed integrations include:

  • Syntellis Axiom for BAR reconciliation and cost accounting
  • Syntellis Kauffman for AP/GL reconciliation
  • AOIC for radiology integration
  • Vizient for clinical data reporting
  • NRC Health for custom patient survey data
  • HHS for periodic regulatory reporting

Results and Benefits

Automated, Cross-Platform Data Flow

The data export projects eliminated the manual effort previously required to move financial and clinical data out of MEDITECH and into the enterprise platforms that the broader Novant system depends on. Automated scheduling means the data flows on a reliable cadence without requiring intervention from Culpeper's IT team.

Enterprise Comparison Reporting

With MEDITECH data now feeding the same vendor platforms used by the Epic facilities in the Novant Health system, Culpeper can participate in system-wide comparison reporting for the first time. Financial reconciliation, cost accounting, and clinical benchmarking data from Culpeper can be evaluated alongside peer hospitals, regardless of the underlying EHR.

Ongoing Optimization

Acmeware continues to assess and refine the data export packages for optimal efficiency. As vendor specifications change or new reporting requirements emerge, the existing integration framework can be extended rather than rebuilt from scratch. Culpeper continues to leverage their investment in the MEDITECH system to achieve greater efficiencies through integration with third-party systems.

A Two-Decade Partnership

The Culpeper engagement highlights the long-term nature of Acmeware's client relationships. From Partnership Program support starting in 2004, to quality reporting in 2017, to the data integration work described here, the relationship has expanded organically as Culpeper's needs have evolved. Acmeware's deep familiarity with the hospital's MEDITECH environment means new projects can be scoped and delivered efficiently, without the ramp-up time that would be required from a new vendor.
